Why PDFs get so big, and practical ways to make one smaller
A 40-page report full of text can be a few hundred kilobytes, while a three-page scan can be 30 megabytes. The difference is almost always images. Knowing what is inside the file tells you which fix will work.
What takes up space in a PDF
- Images. Scans and photos are usually the biggest part by far. A page scanned at high resolution is a full-size photo.
- Embedded fonts. PDFs often carry the fonts they use so they look the same everywhere. That adds some size but rarely tens of megabytes.
- Many pages. Size grows with the page count, especially when every page is an image.
- Extras such as attachments, form data and previous edits saved into the file.
Text and vector drawings are already compact. If your PDF is mostly text and still large, it is probably carrying fonts, attachments or hidden images rather than the text itself.
Why “PDF compressors” sometimes barely help
Images inside most PDFs are already compressed. A compressor can only shrink them further by lowering their resolution or quality, which is a trade-off, not free space. When a PDF is already efficient, no tool can make it dramatically smaller without making it look worse.
Method 1: send only the pages that matter
Often only a few pages of a long document are needed. Removing the rest is the most effective size cut there is, and it loses no quality.
- Open Extract PDF pages.
- Enter the pages you need, using numbers and ranges such as 1-3,7.
- Download the new PDF. The pages are copied exactly as they were.
To send each page as its own file instead, use Split PDF.
Method 2: rebuild a scanned document from smaller images
Photos of receipts, forms or homework taken on a phone are often 12 megapixels or more, far more than a readable page needs. Shrinking the images before building the PDF makes a much smaller file.
- Resize each photo with the image resizer. Around 1600 pixels on the long side is usually still easy to read; keep the proportions the same (the resizing guide shows the formula).
- Run each one through the image compressor at about 70% quality and check the text is still sharp.
- Combine them with Images to PDF. It places each image on its own page at the image’s own size, and JPEG images go in without being re-compressed, so the PDF stays close to the total size of your images.
Method 3: rotate and merge without re-saving images
Merge PDFs and Rotate PDF copy pages as they are. They will not shrink a file, but they also will not bloat it or reduce its quality, so it is safe to tidy a document before sending it.
Things that make PDFs bigger
- Turning pages into pictures. PDF to images is useful for slides or previews, but a page saved as a PNG is usually much larger than the original text page.
- Scanning at a higher resolution than needed, or in colour when grey would do.
- Printing to PDF from a photo app at full resolution.
Limits to know about
- HandyTechHelper’s PDF tools open PDFs up to 30 MB and 300 pages in your browser.
- Password-protected PDFs cannot be opened. Remove the password in the program that created it first, if you are allowed to.
- Images to PDF accepts PNG and JPEG images.
